Information Technology Board Meeting

Minutes May 20, 2026

Call to Order: 1:03 p.m.

 

The reading of the minutes from January 8, 2026, meeting was waived. Motion by Geoffrey Keenan, seconded by Neal Fama.

 

Old business:

  1. Renovations are nearly complete, with current efforts focused on the bathrooms. The Elections Department successfully relocated back to their original office approximately two weeks ago. Their empty office space was used as an opportunity to update and rewire their office network infrastructure.

  2. Our April cybersecurity simulation was a great success. Out of 440 emails sent, 97.73% of the employees safely bypassed the threat, while only 2.27% (6 people) opened the email. The next wave of training has been approved and is scheduled to launch shortly.

     

  3. The initial interface modifications for the website are now complete, and our next phase will focus on end-user deployment and training. It was suggested that the Agendas section needs some attention; since the update, it has become a bit unorganized and tough to navigate, so we will look into fixing that. Additionally, the School Department is looking to update their site as well. It was suggested that we form an Advisory Committee to gather broader input.

  4. The IT Center and BEMA are completely moved into the Public Safety Building, and the garage is being utilized. The Police Department is about halfway through their move, while Dispatch has fully transitioned. The Fire Station hasn’t moved yet. They are waiting on the roadway construction to wrap up before they can move. It was noted that the old buildings remain active until the departments complete their exit. To maximize asset management, all

 

usable equipment is being salvaged and repurposed. Both the Police and Fire Departments are projected to fully complete their moves by late June or early July.

New business:

  1. The city-side budget process is now complete, and we are just waiting on the upcoming budget meetings. Across all city departments, a $20 million reduction has been implemented.

  2. MUNIS Time & Attendance module is being introduced to the city-side operations; the School Department already utilizes. Additionally, the switch from bi-weekly to weekly payroll is underway on the city-side. It was recommended that a ‘Master User’ from the department be designated to attend all MUNIS trainings, though budget constraints may impact overall training attendance. Furthermore, the Assessors’ Office is now on the cloud. Right now, the go-live date is set for December or January; however, they are asking to expedite the timeline since that is an incredibly busy time of year for their office.
